Various MAC synchronising / NAS DRIVE set up query

Hello I have various MAC / NAS DRIVE set up problems and have also had ongoing problems with icloud starting to back up (and me not able to stop it) when I didn't need it in the middle of me working leading to slow down my wifi making it impossible to work with zoom meetings at the same time. I also use time machine to back up the mac book pro but think it will only be backing up the files that are locally on mac and not in the cloud? So I bought a NAS drive as I was tired of icloud and wanted to set up a physical on-site back up system (but have not been able to se it up yet) My current mac book pro (Mojave 2014 that I need to upgrade to use new version of keynoteI Recently i bought a new IMAC 2017 (Catalina I think) to replace an old IMAC 2009 and would like to have a seamless set up with all I files I have 1.5 GB have on the macbook pro (too much for the mac book pro hence the need of using icloud) with all 1GB stored on the physical wireless backed up NAS drive and all synchronised between the macbook pro and imac through the sinology nas drive ... but may also need another back up of the NAS drive too to be safe? I have recently also started to use dropbox as I need to collaborate with creative people remotely on same keynote and powerpoint files etc and feel maybe it is the way forward. I have realise that dropbox sharing doesn't allow to work on keynote too . So I am thinking maybe for my the specific clients folders I am collaborating with other members on I need to use icloud? I understand it is maybe a little complex but was wondering how long time you would estimate it could (understand it is not exact estimate) take you / cost me to help setting all this up remotely? Or will you also be able to do on site visit form after next week end of lock down? (I have had first vaccine shot) and can also work with mask on too.
