I would like someone to assist me with my small business admin. This includes – xero invoicing + reconciling. (not tax etc) Excel – commission , clients goods, project budget, hours to be invoiced spreadsheets Other admin tasks – claiming insurances, sorting out bills etc Flexible with days / hours as work for myself. Customer service and order management • Act as the human escalation layer for live chat, email, and phone • Own customer issues end-to-end in Gorgias • Process refunds, returns, address changes, order corrections, and resends • Investigate damaged, missing, or delayed parcels and manage Australia Post cases • Represent the brand and protect customer trust at all times ⸻ 2. Ticketing, task management, and follow-through • Create and manage tickets for all requests and operational tasks • Assign owners, track progress, and chase completion • Ensure no task, email, or customer promise is missed ⸻ 3. Systems and process improvement • Identify recurring issues and systemise permanent solutions • Build and maintain templates, macros, and documented SOPs • Maintain and continuously improve the Gorgias knowledge base ⸻ 4. File and information organisation • Own the structure of shared Google Drive folders • Enforce consistent naming, storage, and documentation standards • Eliminate file sprawl and keep information easy to find • Act as the gatekeeper for operational documentation ⸻ 5. UGC and marketing coordination support • Coordinate logistics for UGC content, including sample shipments • Track what is sent, to whom, and timelines for delivery • Follow up with creators to ensure completion ⸻ 6. General operational support • Assist with ad hoc admin and marketing coordination tasks • Perform Shopify quality checks when site or product changes go live ⸻ Success metrics • Customers do not need to follow up twice • Issues are resolved cleanly and permanently • Systems improve over time, not just volume handled
