We’re looking for an organised, calm and reliable person to help coordinate our backyard wedding on Friday 29 January 2027. Everything is planned — we just need someone on the day to keep things running smoothly so we can actually enjoy it. This is not a full planner role — most of the work is done! We mainly need someone to manage timings, help oversee setup, and handle the changeover from ceremony to reception. ⸻ Event details • Location: Private property in Mount Duneed (Geelong area) • Date: Friday 29 January 2027 • Guests: ~80 people • Ceremony: 2:30 pm (guests arrive from 1:30 pm) • Cocktail hour: 3:00 pm • Dinner & dancing: From 5:30 pm • Finish: Around 10:30 pm ⸻ Hours needed Approx 9:00 am – 10:30 pm (happy to discuss shorter or split shift if needed). The morning will mostly be light supervision, setup checks, and coordinating deliveries — the main focus is smooth transitions once guests arrive. ⸻ Key responsibilities Morning setup (with some family help): • Oversee styling and placement (signage, flowers, menus, favours, etc.) • Check and coordinate deliveries: tables, chairs, dance floor, glass hire, toilets, bar setup • Make sure AV and lighting are ready for the evening • Help with minor finishing touches (e.g. umbrellas, arch, photo booth area, grazing table setup) During the day: • Welcome and brief any vendors (food, bar, celebrant, photographer, etc.) • Keep the timeline on track (ceremony, cocktail hour, dinner, speeches, dancing) • Coordinate the ceremony → reception changeover (chairs, bar, lighting, etc.) • Keep an eye on drinks and food stations, check guests are comfortable • Be the go-to person for any little problems so the couple and families can relax End of night: • Oversee pack-down of any hire items • Ensure personal items, gifts, and valuables are safely stored • Quick tidy / end-of-night check before leaving

Looking for on the day wedding coordination, help with set-up / styling and pack-down and ideally a van to pick up decorations and drop them off.

Hi! Looking for an organised and efficient person to help out on our wedding day. It would be great to have someone there to guide the vendors, popping and pouring the champagne, topping up the ice, pressing play on the speaker, any emergency weather assistance, keeping an eye on the time, general troubleshooting, and help with the pack down afterwards. Hello there! My partner and I are seeking an amazing person to help us in staying on top of our wedding preparations. Our wedding, with 65-80 guests expected, is set for November 25 on Tamborine Mountain in SE QLD, but our schedules have become unexpectedly busy. On top of that, my partner is currently recovering from knee surgery and she will be immobile for the next few weeks. As a result, we could definitely benefit from some extra help to ensure that everything runs smoothly leading up to our big day. While we have already made some progress with the planning and have a checklist, there is still quite a bit left to do.
