Thrive Youth Services is an NDIS service provider supporting young people across Victoria. We are seeking an experienced admin assistant to help set up and manage our systems, ensuring smooth operations and compliance with NDIS standards. What you’ll be doing: Initial setup and optimisation of ShiftCare (client management, rostering, reporting). Integration and setup of Xero for invoicing and bookkeeping. Ensuring workflows and documentation align with NDIS compliance requirements. Providing light ongoing admin support (approx. 1–2 hrs per week after initial setup). Requirements: Demonstrated experience with ShiftCare and Xero. Strong understanding of NDIS compliance and reporting requirements. Must be up to date with NDIS training and maintain client confidentiality at all times. Previous experience working with NDIS providers highly regarded. Reliable, detail-focused, and able to set up efficient admin systems. Details: Initial setup will be more involved; ongoing work expected to be 1–2 hours weekly. Flexible work – can be done remotely. Rate negotiable depending on experience (expected $45–$60/hr).

I’m looking for an experienced Excel specialist to enhance an existing workforce planning spreadsheet. The current layout is a duty tracker (similar to a roster or shift planner) and needs to remain visually similar, but with improved functionality and automation. Key Requirements: -Maintain original layout while improving usability and clarity. -Add formulas and conditional formatting to highlight: -Personnel availability and absences. -Allocated tasks and duty days. -Restrictions (e.g., unavailable dates, limited duties). -Implement a point system to track workload distribution and ensure fair task allocation: -Points vary depending on the type of shift (e.g., weekends, public holidays, or high-demand duties). -Enable automatic workload population based on availability, restrictions, and previous duties. -Ensure the spreadsheet is easy to extend into future dates: -Ability to drag cells forward while retaining formulas, formatting, and logic. -Designed for ongoing use without needing to rebuild formulas each time. -Allow personnel data to be updated easily, including toggling availability and storing historical info. -Make it simple to use and simple to fix, with clear instructions or notes for future edits. -Colours for easy visual understanding. -Make large adjustments to cells etc. Ideal Candidate: -Strong Excel skills (formulas, conditional formatting). -Experience with workforce planning or scheduling tools. -Able to work with sensitive data and maintain confidentiality. -Good communicator who can explain the spreadsheet works once completed. Currently already have a working spreadsheet, however it is becoming time consuming to rebuild it for different workplaces with different requirements. Needs to be an easy blank to start with that quickly populates with each new company/workforce.

Hello, seeking Australian based experienced and certified bookkeeper please for ongoing management of bookkeeping in Xero. I would estimate around 2 hours a month of work. Some months it may be a bit less and other months a bit more. There was 8 units and each have recurring invoices set up. Sometimes this needs to be adjusted if rent is late or early, or paid in different amts to the usual fortnightly (e.g. if someone decides to pay 2 months in advance), or if rental sums change then adjustments need to be made. Otherwise, it is just matching the sum to the invoice once or twice a month. There are also personal transactions in Xero which can just be allocated to 'personal' as these are not really tracked and it is predominately ensuring correct recording of rent, and ensuring rent is up to date including an update to me each time it is checked to ensure it is all up to date. Rent is being paid fortnightly most of the time so matching in xero twice a month is ideal to keep on top of it. Pls advise of your availability and experience please and monthly fee, Thank you.
